RCOA Scheduling and Billing Policies for Leagues and Teams

This is a reference for those contracting with RCOA for Umpires for there leagues.

Payment for Games schedule is to be paid prior to games being officiated. Once your schedule is loaded in the system we will create an invoice. We would like the total prior to the season starting. You can workout a payment plan if this is not possible. Most leagues pay 1/2 up front and 1/2 prior to mid season.

The billing address is on the invoices

Leagues need to provide the following information to set up the schedule in the system.

Team names and level of Play
Manager Names and Emails with Team Name
Name and Email of person in charge of schedule
Name and Email of person in charge of payment
Who to call with issues (person in charge of officials relations)+
League name and billing address
Field Names and addresses

Once the league provides this information we can design a pre formated Excel file that the schedule needs to be loaded into. This allows us to upload the entire schedule at one time. The other options are to have the league scheduler input them in the system one by one. Or For a Fee we will convert them from your provided format and load them in the system (Usually an additional $1.00 per Game)

Once the season gets rolling it important your scheduler keeps the schedule up to date. They are able to do this directly online at our schedule site http://www.arbitersports.com

Canceled games. Games that are canceled should be done as far ahead as possible umpires who have committed to your games need a change to be rescheduled to other games. They are working to earn money and pay bills.

Rainouts or Emergency Cancellations: on Weekdays Canceling games for rain should be done by 12:00 noon if possible but at least 2 hours prior to game time to insure you are not charged for the umpires. If you do not cancel the umpires and they arrive at the field with out notification you will be charged. Umpires names and phone numbers are listed online for you to attempt to cancel them with in 2 hours of game time. Weekends Cancel the games as soon as possible but once again at least 2 hours before the game time. Games first thing in the morning many times will be within the 2 hour limit this is were calls to the officials can help you avoid being charged for games canceled late.

Umpires are asked to arrive at the field 30 minutes prior to game time. We request that they check-in or let someone know that they are there so you are not wondering at game time if they are there. They should be dress and on the field at 10 min before game time. This is to allow for pregame meeting prior to first pitch. We assure your game times mean that you want the first pitch of the game to occur at that time. Please have your warm ups done in a timely manner.

If umpires are late or do not show up. Please contact one of the assigners as soon as possible we will make every attempt to send a replacement to the field. If no umpire arrives the game fee will be removed from the game. If you have paid all your games in advance we will refund you at the end of the season.

For your information. All umpires are independent contractors. We will remove umpires from the schedule list if they do not show up for a game. They may petition our board for reconsideration once. Multiple problems of this sort and they are permanently removed from the list. Repeated Lateness will be handled the same way. This helps us maintain reliable officials for your games.

Key things to remember Your schedule rep handles the schedule online. Not us. If the game is not in the system it is your schedulers responsibility to insure it is corrected. Your scheduler also is responsible for Game times and locations in the system.

Bylaw or Local Rules Please provide us with a copy of Time limit or rules variations that your league uses. This will allow us to post these at [http://www.sacumpires.com] for our officials to see and familiarize themselves with.

We will do everything possible to insure there is an official scheduled for your games. We may at times not be able to cover all games listed. In this case we may send one instead of two officials to some fields. If we cannot find an official for your games we will call you and let you know prior to game time.

Of you need help training your own officials we will assist you with this also. Youth and or Adult umpires. There is a great need for more officials in this area. We believe in helping new officials get started.
